ACCOUNTING, CUSTOMER SUPPORT AND ADMINISTRATIVE ASSISTANT

We are currently looking for an Accounting, Customer Support and Administrative Assistant. This role supports bookkeeping operations, project management, customer service, and operational tasks. Customer service, QuickBooks Online, and office administration experience are required. will be responsible for accounting/daily bookkeeping, customer service support, project management, sales, and operations support.

CORE RESPONSIBILITIES

  • Bookkeeping/Accounting
    • Accounts Receivable - Invoicing for chemical, parts, and equipment billing including progress billing
    • Accounts Payable - Enter billing from vendors for parts, chemicals, and equipment
    • Daily banking and bookkeeping tasks 
    • ACH/Check payment runs
    • Past due follow-ups with vendors and customers
    • Tracking commissions
  • Office Management
    • Provide clerical and administrative support to sales teams
    • Prepare documents for weekly sales meetings
  • Project Management
    • Process all chemical and equipment orders from receipt of purchase order, modifications through shipment of equipment and chemical
    • Process equipment orders with vendors and coordinate delivery with customers
    • Maintain communication and support with customer and vendor email on all the following, but not limited to project timeline management, customer service responses, etc.
    • Post-sale processing - confirm manuals, pictures, and documents are complete and in the digital file. All items necessary to close the sale are uploaded to the digital files
    • Supplier paperwork for equipment customers filled out and maintained

DESIRED RESPONSIBILITIES

    • Analyze Hubspot reports and follow up on relevant leads on behalf of the salesperson
    • Make, answer, and route phone calls
  • Digital Marketing
    Hubspot email campaigns, report and dashboard creation
    Hubspot knowledge and support
  • Executive Assistant
    • Manage executive daily tasks, emails and calendar

 

REQUIRED EXPERIENCE

  • ·         Strong Quickbooks Online/accounting experience
  •        Preferable QBO Certified ProAdvisor 
  • ·         Google Apps for Business products: Gmail, Google Sheets, etc
  • ·         Extremely detail oriented
  • ·         Outstanding written and verbal communication
  • ·         Excellent computer and phone skills
  • ·         Microsoft Office especially Word/Excel experience
  • ·         Ability to organize and manage multiple tasks
  • ·         Work collaboratively with all departments as well as customers and vendors to resolve open issues
  • ·         Computer proficiency

 

DESIRED PREFERRED EXPERIENCE

  • ·         Hubspot proficiency
  • ·         ERP / Inventory System Management Software (Oracle, Netsuite, SAP, etc)
  • ·         Digital marketing - SEO, PPC, email marketing

  • ·         Accounting or related degree or education
