OPERATIONS, SALES, AND MARKETING ASSISTANT

We are currently looking for a highly organized OPERATIONS, SALES, AND MARKETING ASSISTANT to support day-to-day business operations, manage customer communications, and help drive sales growth. This role plays a critical part in keeping internal systems organized, owning CRM processes, and supporting sales and business development efforts as the company grows.

CORE RESPONSIBILITIES

Email & Communication Management

  • Manage the company’s email inboxes, including weekend coverage on Sundays and Mondays.
  • Respond to customer inquiries promptly, professionally, and with attention to detail.
  • Maintain organized communication threads and ensure timely follow-ups.
  • Track conversations and ensure no inquiries or requests fall through the cracks.

CRM Ownership

  • Select and implement a budget-friendly CRM suitable for the business’s needs.
  • Design and manage CRM architecture, workflows, automations, and data structures.
  • Maintain clean, accurate, and up-to-date CRM data.
  • Track leads, follow-ups, and customer interactions consistently.
  • Provide basic reports and insights to support customer retention and informed business decisions.

Operational & Organizational Support

  • Track tasks, deadlines, and ongoing priorities to support smooth daily operations.
  • Maintain organized internal systems and documentation.
  • Assist with general administrative and operational tasks as needed.
  • Work effectively in a fast-paced environment with direct communication and rapid task execution.

Future Growth: Business Development Support

  • (Once fully trained on the brand and internal systems)
  • Identify new business opportunities and potential leads.
  • Support sales pipelines for weddings, schools, corporate gifting, and wholesale accounts.
  • Conduct follow-up emails and phone calls with prospective clients.
  • Schedule introductory calls and coordinate outreach campaigns.
  • Contribute to increased sales through structured, consistent follow-up processes.

 

REQUIRED EXPERIENCE & QUALIFICATIONS

  • Proven experience setting up, managing, and maintaining CRMs, including workflows, data structure, and automations.
  • Excellent written English with the ability to communicate professionally and clearly.
  • Experience with customer follow-up, email marketing, or client communications.
  • Mandatory experience supporting and managing sales pipelines.
  • Strong organizational skills with the ability to build and maintain effective systems.
  • Ability to work independently and manage tasks without constant supervision.
  • Confidence and professionalism in phone communication with customers or prospects.
  • Detail-oriented, proactive, and comfortable handling multiple priorities simultaneously.
