EXECUTIVE ASSISTANT & PROJECT COORDINATOR

We are currently looking for a highly organized and proactive Executive Assistant & Project Coordinator to provide comprehensive support to the executive team while coordinating projects across multiple teams. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, tech-driven environment. The ideal candidate will support executive operations, project coordination, research, and data management while contributing to effective communication with customers, partners, and internal stakeholders.

CORE RESPONSIBILITIES
Executive Support

Manage and prioritize the executive team’s calendars, schedule meetings, and coordinate logistics for internal and external engagements.

Organize and coordinate travel arrangements, itineraries, and related logistics.

Assist in managing and organizing executive email inboxes, flagging urgent items and drafting responses when needed.

Support the executive team with assigned projects and operational tasks.

Support customer and partner relationships through ongoing communication and coordination.
Project Coordination

Create, organize, and track tasks, deadlines, and project progress across multiple teams.

Maintain visibility into ongoing initiatives to ensure alignment, accountability, and timely completion.

Coordinate with cross-functional teams, partners, and service providers to gather information and prepare clear, organized summaries.
Research & Analysis

Conduct light research to gather, verify, and synthesize information from multiple sources.

Prepare concise summaries, reports, and presentations to support executive decision-making.

Assist with sales-related research, including lead data verification, industry insights, and competitor analysis.
Data Entry & Organization

Manage data entry tasks, ensuring accuracy and consistency across spreadsheets, CRMs, and internal systems.

Organize and curate information from multiple stakeholders into structured and easy-to-use formats.

Support the maintenance of updated project dashboards, trackers, and documentation.
REQUIRED EXPERIENCE & QUALIFICATIONS

3+ years of experience as an Executive Assistant, Project Coordinator, Administrative Assistant, or in a similar role.

Experience managing vendor and supplier contracts and relationships is a plus.

Experience in the tech industry is required, preferably within data center–related environments.

Strong organizational and multitasking skills, with the ability to manage competing priorities effectively.

Excellent written and verbal communication skills.

Proven experience coordinating calendars, meetings, logistics, and cross-team communication.

Ability to conduct research and clearly summarize complex information.

Proficiency with productivity and collaboration tools such as Google Workspace, Microsoft Office, project/task management tools, and CRM systems.

High attention to detail, strong follow-through, and a proactive mindset.
