We are currently looking for a Project Coordinator  to support the successful execution of construction and restoration projects. This role plays a critical part in managing project administration, facilitating communication across teams, tracking financial and scope-related items, and ensuring projects are completed efficiently and to a high standard of quality. The ideal candidate is highly organized, thrives in fast-paced environments, communicates confidently, and takes ownership of tasks from start to finish.

CORE RESPONSIBILITIES

·       Project Tracking: Maintain and track all project tasks, deadlines, and milestones within Asana to ensure that no project falls behind schedule.

·       Project Documentation: Maintain accurate and up-to-date project records, including confirmations, status updates, schedules, and deliverables.

·       Administrative Support: Provide high-level operational support to multiple Assistant Project Managers and Project Managers, allowing them to focus on strategy and client management.

·       Meeting Coordination: Record detailed meeting notes, document key decisions, and clearly outline specific action items for team follow-up.

·       Workflow Monitoring: Proactively monitor workflows and follow up on outstanding items to prevent project delays.

·       Digital Organization: Maintain well-organized digital file structures, ensuring all documents are saved consistently and accurately according to company standards.

·       Process Improvement: Continuously identify and implement more efficient ways to complete tasks and improve project workflows.

 

REQUIREMENTS

·       Strong Organizational Skills: Proven ability to manage multiple projects and shifting priorities simultaneously.

·       Project Management Tools: Previous experience using project management software, with a strong preference for Asana or similar platforms.

·       Attention to Detail: Exceptional precision in documentation, note-taking, and tracking complex tasks and deliverables.

·       Communication Skills: Clear and professional written and verbal communication skills for effective internal and external coordination.

·       Proactive Mindset: A self-starter who anticipates potential issues and ensures that nothing “slips through the cracks.”

·       Deadline Management: Ability to work comfortably under firm deadlines in a fast-paced, high-pressure environment.
