EXECUTIVE ASSISTANT

We are currently looking for an Executive Assistant that provides unparalleled support to the executive leadership. As an Executive Assistant, you will play a pivotal role in ensuring the seamless operation of the organization. You will be the right-hand person to the executives, anticipating their needs, managing their schedules, and keeping them on track. Your excellent writing skills will be utilized for crafting clear and concise communications, reports, and presentations.

CORE RESPONSIBILITIES
· Executive Support & Project Leadership
· Calendar & Correspondence: Direct the Founder’s complex business/social schedule and monitor all incoming communications to ensure timely, professional responses.
· Workflow Optimization: Lead weekly/monthly alignment meetings to set goals, resolve bottlenecks, and ensure the executive’s time is optimized for high-priority tasks.
· Documentation & Reporting: Prepare executive presentations, draft formal correspondence, and maintain accurate personal and business databases.
· Travel & Logistics: Coordinate and confirm all travel arrangements and event details, ensuring seamless execution of off-site engagements.
· Business Growth & Marketing Operations
· Lead Generation Support: Collaborate on marketing strategies and social media initiatives to identify new business opportunities and enhance brand awareness.
· Client Onboarding Lifecycle: Oversee the transition from initial lead generation to operational hand-off, ensuring a seamless experience through the signing of client agreements.
· Community Relations: Foster local partnerships and manage networking efforts to facilitate collaborative opportunities for the firm.
· Culture, HR, & Financial Administration
· Staff Engagement: Develop and execute daily, weekly, and quarterly events to foster a collaborative culture and support staff development goals (e.g., Lunch and Learns).
· Talent Support: Participate in high-level hiring processes and assist in the onboarding and training of new employees in partnership with HR and Operations.
· Fiscal Oversight: Monitor expenses, prepare accurate reports, and manage financial record-keeping in compliance with company policies.
REQUIRED EXPERIENCE & QUALIFICATIONS
· Strategic Administrative Mastery: Exceptional ability to manage complex business and social calendars, travel logistics, and shifting priorities with meticulous attention to detail.
· Executive Presence & Communication: Superior verbal and written skills; ability to act as a high-level liaison and "gatekeeper" for the Founder among internal and external stakeholders.
· Project Governance: Proactive problem-solver with the ability to work autonomously, meeting deadlines and managing project lifecycles from conception to completion.
· Discretion & Financial Integrity: Strong commitment to confidentiality regarding sensitive business, personal, and financial records, including expense management.
· Operational Agility: Highly adaptable collaborator capable of pivoting between marketing support, business development, and staff culture initiatives.
